Zoom has been the most utilized tool in the professional world during this recent period of remote work and social distancing, promoting connectivity among teams, enabling efficient meetings, being the most integrated application with project management systems, and preventing the spread of coronavirus. That’s why we explain how to create a meeting in Zoom step by step.

Zoom is an easy-to-use application that allows you to create a video conference to achieve training objectives, product and project presentations, or team meetings. Through just a few steps, you can see colleagues, send messages, share files, share desktop views, and much more.

How does Zoom work?

Before learning how to create a meeting in Zoom, it’s important to note that one of Zoom’s highlights is its ease of use. While it offers few customization features, optimizing and focusing them on the meeting or video conference objective is key to success. The execution options are quite useful, from activating or deactivating the video and/or audio of the host, speakers, or participants, to screen sharing, allowing control of it, or recording the conducted video conference. Additionally, it’s possible to invite new participants via email, SMS, WhatsApp, or Messenger.

Zoom can be used in two ways:

  • To create a meeting and invite others to participate or attend.

How to create a meeting in Zoom step by step

To create and conduct a work meeting within the Zoom platform, follow these steps:

  • Install the Zoom application

You can create a meeting or video conference on Zoom from a computer or mobile device. It’s recommended to install the application for ease of use, but you can also create a meeting from the Zoom website. The download is available for Mac, iPhone, and iPad, as well as for Windows, Android, and even Linux.

  • Sign up with Google, Microsoft, or directly on Zoom

It’s ideal to sign up with a professional email address, as the program has the ability to find all currently registered contacts. This facilitates direct contact between colleagues and teams without having to send them a registration invitation.

  • Create a meeting

Once inside the Zoom application, the meeting organizer should click on the “Start a meeting” or “Schedule a meeting” button and complete the information as well as the settings offered. When a person creates the meeting, they automatically become the host, a category that gives them total control in the video conference, and any changes during the video call or meeting depend on the host.

  • Invite meeting participants on Zoom

To do this, the meeting organizer should share the “Invitation link” generated when saving the settings and data of the previously created meeting. The person invited to the meeting only needs to click on the shared link to automatically join it.

How to create a meeting in Zoom from a mobile phone

The meeting organizer can also decide to create a meeting or start a video conference from their mobile phone. For this, it’s more convenient to download the application. Once inside, click on “Join” or “Sign Up” to create an account. Subsequently, follow the same steps described above and invite attendees by sharing the generated link.

Zoom Payment and Registration Information

The basic version of Zoom is free, and up to a hundred people can participate in meetings. However, these meetings must last only 40 minutes or less; after 40 minutes, the meeting will close. If you need more time, there is a subscription plan for the Pro version for 140 euros per month.
